Terms and Conditions for Registration

1. Introduction

Welcome to BEYOND BORDERS: UNITED FOR MENTAL HEALTH – Joint International Event: The 8th Eastern European Conference of Mental Health In and Out of Your Mind and the 4th International Congress of SPNPPC (hereinafter referred to as the Event).

The registration process and participation in the Event are subject to these terms and conditions. By completing the registration process, you agree to comply with these terms and conditions. Please read them carefully before proceeding with the registration.

2. Registration

2.1 Eligibility: Individuals aged 18 and above can participate in the Event.

2.2 Accuracy of Information: During the registration process, you must provide accurate and complete information. You are responsible for updating your registration details if any changes occur.

2.3 Registration Confirmation: Upon successful completion of the registration process, you will receive a confirmation email containing your registration details and other relevant information.

3. Registration Fees

3.1 Payment: To participate in the Event, you must pay the specified registration fee. All fees are non-refundable and non-transferable.

3.2 Early Bird Registration Fee: If early bird registration and ticket purchasing are available, this will be clearly mentioned on the Event website. To benefit from the early bird fee, registration and payment must be completed within the predetermined period.

3.3 Payment Methods: We accept only the payment methods mentioned on the website.

3.4 Fees and Taxes: All applicable fees and services are included in the participation fee.

3.5 Payment Confirmation: Upon receiving your order, you will receive an email confirming the payment.

3.6 Secure Online Payment: Online payment is made under maximum security conditions using a payment card, which allows for online transactions. After making the payment, you will receive a payment confirmation at your email address.

3.7 Payment Processor Security: The payment processor uses a secure system based on the latest version of the 3D-Secure security standard, which means a new global approach to authenticating secure online shopping transactions. This safety measure involves redirecting the user to a secure MAIB page where each cardholder is authenticated with a one-time code for each online transaction.

3.8 Refunds: Refunds are made only to the payment card used for the purchase.

3.9 Payment Details: To make a payment, you must enter your bank card details. The transfer of this information is made following all necessary security measures. The information is transmitted in encrypted form and is stored only on a specialized server of the payment system.

3.10 Required Payment Details:

  • Card number (16 digits)
  • Expiry date (month and year)
  • CVC or CVV code (3 digits)
  • Name and surname on the payment card

3.11 All payments are processed in the national currency – MDL (Moldovan Leu). If the transaction currency differs from the payment currency, the transaction amount is converted according to the card operations exchange rate on the settlement day of the issuing bank.

3.12 Delivery Policy: Registration confirmation will be delivered via email within 24 hours of payment confirmation. At the event, the confirmation can be presented either in digital format or by stating the name, in which case we will verify and confirm attendance against the participant list.

4. Cancellation and Substitution

4.1 Participant Cancellation: If you cannot attend the Event, the registration fee may be refunded if the cancellation is made in writing at least 30 days before the Conference start date. Cancellations received after the cancellation deadline or absence from the event will not be refunded. Please note that canceling your registration does not automatically cancel your hotel and travel reservations. Participants are responsible for canceling their hotel and travel reservations.

4.2 Organizer Cancellation: In the unlikely event that the Event is canceled or postponed due to unforeseen circumstances, we will attempt to provide you with a full refund of the registration fee. However, we will not be responsible for any other expenses you may incur.

4.3 Force Majeure: After the cancellation deadline, payments made are non-refundable for any reason, including, but not limited to, the inability to use conference participation documents due to illness or any event outside the reasonable control of the parties, such as natural disasters, travel issues, or acts of terrorism.

5. Code of Conduct

5.1 Respectful Behavior: All participants must behave professionally and treat fellow participants, speakers, organizers, and staff with respect and courtesy.

5.2 Prohibited Behavior: Harassment, discrimination, offensive language, or disruptive behavior will not be tolerated. Participants engaging in such activities may be asked to leave the Event without a refund.

5.3 Compliance with Laws: Participants must comply with all applicable laws and regulations of the Republic of Moldova during the Event.

6. Intellectual Property

6.1 Use of Content: All Event materials, including but not limited to presentations, work materials, and audiovisual recordings, are the intellectual property of the Event organizers. Unauthorized distribution, reproduction, or use of these materials is strictly prohibited.

6.2 Media Consent: By participating in the Event, you grant the organizers the right to capture and use photos, videos, and audio recordings of you for promotional and marketing purposes.

7. Liability

7.1 Liability Waiver: The conference organizers disclaim any liability for any damage, injury, loss, or claims arising from participation in the Event, including, but not limited to, accidents, theft, or property damage.

7.2 Indemnity: Participants agree to indemnify and hold harmless the Society of Psychiatrists, Narcologists, Psychotherapists, and Clinical Psychologists (SPNPPC) and its representatives from any claims, demands, losses, or liabilities arising from their presence or participation in the Event.

8. Amendments

8.1 Changes to Terms: The conference organizers reserve the right to modify these terms and conditions at any time. Any changes will take effect immediately upon posting on the Event website.

8.2 Notification of Changes: Registered participants will be notified of significant changes via email.

9. Governing Law

9.1 Jurisdiction: These terms and conditions will be governed and interpreted in accordance with the laws of the Republic of Moldova. Any disputes arising from the Event or these terms and conditions will be subject to the exclusive jurisdiction of the courts of the Republic of Moldova.

9.2 By continuing with the registration process, you confirm that you have read and understood these terms and conditions and agree to abide by them. If you do not agree with any part of these terms, please do not register for the Event.

10. Data Protection

10.1 By registering for the event on the website 24congres.eventic.md, you automatically agree to the collection and processing of personal data necessary for processing/confirming/executing orders.

10.2 Personal data is processed only for legitimate purposes, such as providing the products you order, promotions, Google Analytics, cookies, and notifications/newsletters.

10.3 All information containing personal data is stored and used only for the period necessary to achieve the purposes for which it was collected and in accordance with the provisions established by Law no. 133/2011 on the protection of personal data.

10.4 Commercial security measures are used to prevent unauthorized access, maintain data accuracy, and ensure the proper use of information on the site. Data transmission over the Internet or wireless network cannot be completely secured. Therefore, like other companies, we cannot guarantee the security of the information you provide, and you do so at your own risk.

11. Privacy Policy

11.1 In accordance with the provisions of Law No. 133/2011 on the protection of personal data, the service provider processes personal data. Personal data is processed in good faith and in accordance with legal provisions. The processing of personal data is carried out by mixed means (automated and manual), in compliance with legal requirements and under conditions that ensure security, confidentiality, and respect for the rights of the data subjects.

11.2 The provider collects and processes only the personal data provided by the participant when placing the order: name, surname, phone number, address, postal address.

11.3 Personal data is used exclusively for site administration, to allow access to special information, for order delivery, or to contact the participant for delivery execution. By this notice, users and participants acknowledge that their personal data (name, surname, phone number, address, postal address) will be processed and used. The service provider processes the personal data of users and participants provided through navigation, use, and registration on the website 24congres.eventic.md.

11.4 Any information provided by users of the website 24congres.eventic.md will be considered and will represent the express consent for the personal data to be used by the Provider.

11.5 The provider will not disclose any data held to a third party without the consent of the data subjects and will not commercialize, exchange, or disclose these data to other persons, except as provided by law (at the request of public state institutions, law enforcement agencies, courts, and other entities authorized to process personal data).

11.6 Personal data may be processed and used by the Provider for statistical and subsequent promotional purposes.

11.7 The service provider meets the requirements for the security of personal data and ensures the protection of participants’ data, protecting them from being lost, destroyed, distorted/falsified, or disclosed to third parties.

11.8 The service provider’s employees are obliged to respect the confidentiality of participants’ personal data. The processing of personal data will be carried out by the authorized person of the Provider.

11.9 The provider uses security methods and technologies according to the legal provisions in force.

11.10 The provider does not collect information regarding transactions, such as card number, expiration date, or country of origin.

12. Conference Code of Conduct

12.1 The conference is committed to providing all participants with an inclusive and harassment-free experience, regardless of race, ethnicity, color, religion, gender, gender identity or expression, sexual orientation, national origin, disability, age, or any other characteristic protected by applicable laws.

12.2 Expected Behavior:

 • Treat all participants, speakers, sponsors, organizers, and staff with respect and courtesy.

• Engage in constructive and respectful communication during sessions, workshops, and social events.

• Be mindful of your words and actions, avoiding any form of harassment, discrimination, or offensive behavior.

12.3 Harassment Policy Harassment in any form is strictly prohibited. Harassment includes, but is not limited to:

 • Offensive verbal comments related to race, ethnicity, color, religion, gender, gender identity or expression, sexual orientation, national origin, disability, age, or other personal characteristics.

• Intimidation, stalking, or unwelcome attention.

• Inappropriate physical contact or unwelcome sexual advances.

 • Displaying offensive images or using offensive language in public spaces, including presentations and slides.

 • Any sustained disruption of discussions, workshops, or other events.

• Any other behavior that would reasonably be considered inappropriate in a professional environment.

12.4 Reporting Procedure If you experience or witness any violation of this Code of Conduct, please report the incident to one of the event organizers or staff members. You can do this in person or via email at events@ic.md. Your concerns will be taken seriously and treated confidentially.

12.5 Consequences of Violations Any person found to have violated this Code of Conduct may face consequences, including but not limited to:

• A verbal warning from event organizers or staff.

• Being asked to leave the event without a refund.

• Being banned from attending future events organized by the same organizers.

12.6 Organizers’ Responsibility

 The event organizers are committed to enforcing this Code of Conduct and providing a safe environment for all participants. If you have concerns or need clarification during the event, please approach one of the organizers or staff members.

12.7 Scope and Enforcement

This Code of Conduct applies to all conference-related activities, including discussions, workshops, social events, online interactions, and any other conference-related gatherings.

12.8 Notice

The organizers reserve the right to make changes to this Code of Conduct at any time without prior notice. Participants are required to comply with the most recent version available during the event.
